How to Switch Software Without Breaking Your Workflow

Switching tools is where good decisions go to die — botched migrations cost data, time, and team trust. A little process prevents most of the pain.

Decide it's worth it

Migration always costs more than the price difference suggests. Switch when the current tool is actively blocking you (missing a critical feature, costing too much at scale, or being sunset) — not for a marginally nicer UI.

Export and audit your data first

Before you cancel anything, export everything from the old tool and confirm the export is complete and usable. This is also your backup if the migration goes wrong. If the old tool makes export hard, that's a lesson for picking the next one.

Map old to new

Field by field, decide where each piece of data lands in the new tool. Watch for things that don't map cleanly — custom fields, statuses, attachments — and decide how to handle them before you import.

Run a parallel period

For critical systems, run both tools briefly in parallel. Migrate a small slice first, verify it's correct, then move the rest. A pilot catches problems while they're cheap to fix.

Bring the team along

Adoption fails when a switch is sprung on people. Communicate the why, provide a short walkthrough, and name a go-to person for questions in week one. Momentum matters more than perfection.

Decommission cleanly

Once you've verified the new tool, export a final archive of the old one, cancel the subscription before it auto-renews, and revoke its integrations and access. Leaving the old tool running is both a cost and a security loose end.

Set a review date

Put a note 30 days out to confirm the new tool is delivering what you switched for. If it isn't, you'll still have your archived data and a clear record of why.
